To allow for equal access to the rental spaces at the Charlottetown Library Learning Centre, we do not accept continuous or weekly bookings at this time.

After-hour events can be hosted in the Rotary Auditorium. A special package can be purchased for after-hour events, including our Rotary Auditorium, Boulevard, Back Terrace, and Community Kitchen.
Contact the Event Services Coordinator to inquire about this special package. Please note that after-hour rates include an additional charge for security.
Event/meeting spaces within the library are made available 15 minutes after the library opens and must be vacated 15 minutes before the library closes. Please keep in mind that the users are responsible for setup and tear-down. We suggest adding a minimum of one hour to your booking depending on the unloading, setup and teardown you will need to do. Bookings may not exceed 8 hours.
After-hour events taking place after library hours must be a minimum of 4 hours and may not exceed 8 hours. Users have access to the Rotary Auditorium until 2 a.m. with the event concluding at least one hour prior to the access end time. All after-hour events are subject to additional security fees.
The Charlottetown Library Learning Centre only accepts bookings up to 6 months in advance for the Rotary Auditorium. Late planned events (two-four weeks before the event date) are booked on a case-by-case basis. We are not able to book after-hour events with less than two weeks’ notice before the event date.
The library is able to place a hold on the desired room rental space and date(s) for up to 10 days. After this time, holds will be automatically removed if the Event Services Coordinator does not receive follow-up confirmation from said user. No deposit is required to place a room on hold.
Once your event details are approved, our staff will send you a contract via email. Contracts are non-negotiable. A signed contract and 50% deposit are due within 10 days to confirm your event. The remaining 50% is due 30 days before your event.
Deposits are refundable if the event is canceled more than 90 days before the event. If the event is canceled 45-90 days before the event, the deposit is non-refundable. Full event fees are due if the event is cancelled less than 45 days before the event date. Meeting Room bookings will be cancelled if the user does not show within 30 minutes of the scheduled booking.
Please note that if the Charlottetown Library Learning Centre closes due to inclement weather, all scheduled bookings will also be cancelled.
The Charlottetown Library Learning Centre follows the Provincial Civil Service Offices closures and delays. In the event of a snowstorm or other poor weather conditions in which the Provincial Civil Service Offices are delayed or closed, the library would also be delayed or closed.
If the library is closed, all events would be canceled and either rescheduled or refunded.
You are welcome to bring in your own vendors however all outside vendors (including catering, AV etc.) must be approved by the library before the event.
Prefered Vendors:
The library does not offer parking, however, there is metered parking (free on evenings and weekends) and a parkade at 100 Pownal Street, Charlottetown.
You are welcome to serve alcohol at your after-hour event so long as it has been pre-approved by the library and you have obtained the proper Special Occasion Liquor License or the equivalent of.
All users renting the Rotary Auditorium after-hours are required to obtain a special event liability insurance. We suggest using PAL Canada.
Our name, logo or images may not be used in reference to partnering, supporting or sponsoring your event.
The Charlottetown Library Learning Centre name and address may be used as your location name.
We reserve the right to approve all event-related invitations, press releases, and other promotional materials that refer to the Charlottetown Learning Centre prior to printing.
We do not permit any non-partnered events to hang signs, banners or promotional material in public areas of the building except for our public bulletin board. The Charlottetown Library Learning Centre does not provide marketing support for private, non-partnered events.
Any products, signs or promotions must be displayed solely within your rented space during your rental time and with the approval of the library. No posters, banners etc. are permitted to be fixtured to the library spaces.
The Charlottetown Library Learning Centre has security on-site during regular open hours and during after-hour events to provide security for the library itself. If additional security is required for your event, we provide this at an additional cost.
Smoking is not permitted within 15 meters of the building. This includes the front and back terraces.
The Charlottetown Library Learning Centre has other rentable spaces that may be used during your event. We cannot guarantee the sole use of the library’s rentable spaces however we will ensure that your event is in no way disrupted by any other event.
The Charlottetown Library Learning Centre is a fully accessible building. All main entrance and exit points are fully accessible.

There are public washrooms located in the library.

If you are looking to book Meeting Room A, Meeting Room B, or our Rehearsal Studio the day of and the space is not already booked, these rooms may be booked free of charge for up to two (2) hours.
To book the Rotary Auditorium you must be at least 18 years of age at the time of booking. To book a meeting space such as our Meeting Rooms or Board Room you must be at least 16 years of age at the time of booking.
To book Meeting Room A or B or the Rehearsal Studio the day of users must be 10 years of age or older and provide their library card.
All users may be asked to provide a legal ID upon booking.
